Wholesale and Retail Software

The 4D Wand Program Module – Inventory Accounting – Wholesale or Retail encompasses all merchandise and service transactions for all types of small and medium-sized enterprises. Considering the ability to set all application parameters, the program is adaptable to various business approaches in wholesale and retail operations. The modules are fully integrated with the 4D Wand Financial Accounting module. In analysing and creating all procedures, we have followed the idea that everything the user does must be simple and require as few steps as possible.

The Wholesale and Retail inventory accounting modules are the most comprehensive, complete and extensive modules of the 4D Wand program. If you are a company whose business is based on wholesale or retail, and you leave finance to experts (an accounting service), one or both modules (depending on your business organisation) is all you need to operate. Therefore, with the use of the Wholesale (or Retail) module and the Address Book module, you will cover your entire business. Special functionalities such as the production module, consignment tracking, returnables, or the Intrastat module, etc., are included within the above-mentioned modules.

*In the remainder of this text, we will refer only to the Wholesale program, and everything stated applies equally to the Retail program. At the end we will add the Retail-specific functionalities. We remind you that the difference between wholesale and retail lies in the different calculations and tax (i.e. VAT) processing.


The Wholesale module can be viewed through 4 core functionalities:

Commercial functionality provides practically everything required for successful commercial activity:

  • pre-quotations, quotations
  • customer orders, supplier orders, order confirmations, back-order tracking for customers and suppliers, tracking successive deliveries…
  • discount policy
  • stock planning, customer price lists, supplier price lists
  • service maintenance, subscriptions…
  • sales representative performance reporting based on collected / uncollected turnover… practically everything performed by a specialised commercial software package


Inventory (warehouse) functionality offers absolutely everything for accurate, easy and successful handling of goods and services, in simpler terms, it is a program for managing stock levels, and for import and export of goods and services, etc.

  • goods receipts (domestic and import), goods receipt drafts, internal receipts, supplier returns
  • delivery notes, transfer notes, internal issues, customer returns, pick orders
  • warehouse charging, warehouse discharging, wastage records
  • consignment receipts, consignment value change records
  • consignment issues, sub-consignment value change records
  • stock cards
  • issuing on returnable basis, returnable item returns, inbound returnables – collectively referred to as the returnables program
  • opening warehouse balances, stocktaking program (stocktake, stocktake of goods received on consignment, stocktake of goods issued on consignment)
  • production (work orders, bills of material, receipts of finished goods from production, material discharging to production work orders…)


Financial functionality provides the ability to create numerous financial documents necessary for legally compliant business operations, which are ultimately forwarded to the accounting service or to the Financial Accounting module (if you have your own accounting department). VAT calculation can also be performed.

  • e-Invoice submission (electronic invoices fully compliant with the Croatian law on electronic document exchange)
  • purchase ledger for goods and services, purchase ledger for issued advances, purchase ledger for goods from import
  • control books (import and export), control books of foreign currency inflow (and outflow), INTRASTAT
  • VAT calculation, VAT-K, export for e-Tax, tax ledger reconciliations, VAT-MU tax ledger, VAT-MI tax ledger – practically everything a specialised VAT calculation program performs
  • ad-hoc monitoring of paid, unpaid and partially paid invoices; payment order creation
  • fiscalisation


Reporting functionality provides the ability to customise documents in accordance with user requirements, thus enabling a unique, non-standardised visual identity for each company.

  • documents – we will follow your requests and adjust the appearance of the invoice, delivery note, quotation or any other document you will print from 4D Wand. Such documents can be printed on blank paper or on pre-printed stationery. They can also be sent directly via e-mail or fax from 4D Wand. Since all reports are printed in MS Word, the adaptation possibilities are almost unlimited.
  • 4D Wand users do not need special solutions or special printers for printing declarations, price labels, warranty certificates, etc. Labels are defined and tailored by the users themselves, and printed in a selected quantity (e.g., directly from the goods receipt, printing declarations with the received quantity).
  • inventory reporting offers several hundred reports depending on the selected criteria, sorting or periods. Inventory reports provide a wealth of information, so we will list only part of what can be generated: price list, stock sheet, warehouse stock, stock value movement, stock activity indicators, item movement frequency in a date range, warehouse turnover, product turnover structure, procurement, sales…
  • financial reporting offers dozens of reports related to financial documents. We list a few: wholesale trade book, services book, purchase ledger reconciliation, sales ledger reconciliation, VAT by sales ledger, achieved margin overview on sales invoices…
  • statistics are a true delight for those who want numbers from which they can extract useful information. Considering that every printed report can easily be exported to Excel, the possibilities have expanded beyond imagination. The following is only part of the statistics provided by 4D Wand: goods sales by customer, goods purchase by supplier, goods offers by customer, goods sales analysis – inventory documents, goods sales analysis by item groups (classification), goods purchase analysis, goods offer analysis, service sales analysis, stock movement statistics per item, business per day by month…


Registers

All stated functionalities could not exist without registers. We list some with key attributes…

  • items – name, secondary name, tertiary name, catalogue number, dimensions, volume, warehouse location, bar code, country of origin, manufacturer, account…

Master data are an essential and indispensable element for successful business organisation

The Retail Module

Everything stated for Wholesale applies to the Retail module as well. However, due to its specifics, Retail has several additional elements. Primarily, there is the connection with the POS cash register, as the POS cannot function without the Retail module. Goods receipts and stock cards as well as all relevant documents are located in 4D Wand itself. Based on these documents, warehouse status information is sent to the POS. The POS register itself generates daily turnover which, together with associated means of payment, is imported into 4D Wand, i.e., the Retail module.

  • daily POS turnover – imported individually or in bulk for all sales locations. Together with this, R1 invoices issued at POS terminals are transferred
  • payment means specification – a document arriving with the daily turnover, via which the amounts collected in cash, cards, cheques, etc., are monitored, with the possibility of subsequent breakdown of means and maturity tracking by period, etc.
  • price changes (mark-ups / mark-downs) – created in advance (sales campaigns, etc.) or automatically after daily turnover approval in cases where warehouse price differs from sale price
  • retail trade book – with all prescribed elements
  • purchase and sales inventory book – with all prescribed elements
  • multiple export/import files for POS – automated warehouse stock dispatch to all sales points as well as automatic import of all daily turnovers
